WhatsApp message templates for cafes
These WhatsApp message templates are short enough to send during service. They assume the official WhatsApp Business Platform, an opted-in customer, and a reason tied to an order or a reward. Copy them, then replace the drink, the name and the offer.
Order ready
Your order #0412 is ready at the bar. Flat white (oat) and a cardamom bun. Reply here if you cannot see it.
Use this the moment the drink is on the hand-off, not when the ticket prints. The point is to clear the bar, not to add another notification while they are still in the queue.
One stamp to go
You are on 9 of 10 stamps, Aisha. One more coffee and the next one is free. Today’s menu: your-cafe.menu
Send this after the visit, not during payment. Include the real balance. A message that says “you are close” when they have three stamps left trains people to ignore you.
Birthday
Happy birthday, Sam. Your drink is on us today at Ember Roasters. Show this message at the counter or order ahead in the app.
Send it in the morning. A birthday reward that arrives at 6pm on a workday is a missed visit.
Win-back
We have not seen you in a few weeks, Priya. Your usual flat white is half price until Sunday. Menu: your-cafe.menu
Cap the window. Name a drink if you know it. Do not send this to someone who was in yesterday because a filter was wrong.
Menu link
Here is today’s menu, including what is already sold out: your-cafe.menu. Reply if you want a cake put aside.
Use your live QR menu link so 86’d items are already gone. A PDF photo of last month’s case creates orders you cannot make.
Before you send any of these
Only message people who opted in. Register the templates on the WhatsApp Business Platform before you need them; approval is not instant. Keep a plain-text version for SMS fallback. And give every message a stop path so the list stays clean.
